Position Overview

Ultimate Staffing Services is actively seeking an organized and personable Front Office Administrator to join their client's team in California. This position is a contract role lasting until the end of July 2026, with the potential to transition to a temp-to-hire position. The role is based in San Diego, CA, at 12121 Scripps Summit Dr., and offers a welcoming and dynamic work environment.

Responsibilities

  • Maintain the district office, coordinate lunches, manage all incoming/outgoing mail, and assist in all departments.
  • Provide door coverage and visitor support.
  • Receive packages and deliveries.
  • Distribute mail efficiently.
  • Ensure general office upkeep, including open desks, conference rooms, and common areas.
  • Support kitchen operations by maintaining the Jura machine, keeping appliances clean, ordering, and restocking supplies, and completing daily, weekly, and monthly cleaning tasks.
  • Maintain the patio, including opening it in the morning, closing it at the end of the day, and keeping furniture and the area clean.
  • Manage conference room bookings and ensure rooms are clean, stocked, and presentable, performing necessary cleaning tasks regularly.
  • Provide breakfast and lunch support, including setup and cleanup for office meals and catering.
  • Enter CPR data accurately.
  • Monitor office supply inventory and order supplies as needed.
  • Prepare workspaces for new hires.
  • Address unexpected day-to-day office needs as they arise.

Qualifications

  • High School Diploma or greater, with a bachelor's degree preferred.
  • Minimum of 2 years of experience as an Administrative Assistant or Receptionist.
  • Previous experience in an administrative role within the construction industry is preferred.
  • Proficiency in Word, Excel (creating inventory spreadsheets, data entry), Outlook, and OneDrive.
  • Friendly, organized, and coachable demeanor.

Required Work Hours

The position requires a full-time commitment with work hours from Monday to Friday, 8:00 AM to 5:00 PM.
